Privacy

This page explains what personal information Soramis collects, why, who helps us handle it, and what you can ask us to do with it. Our mailing address is 7111 W Alameda Ave, Ste J #4087, Lakewood, CO 80226, USA.

Who is responsible

The person in charge of protecting personal information at Soramis is the Privacy officer, Soramis. You can reach the privacy officer at hello@soramis.com.

What we collect

• The booking form. Your name, work email, business name, team size, what eats the most time in your week, and your website if you give it.
• Emails you send us. Whatever you choose to write to hello@soramis.com.
• The discovery call. If you book an assessment, we record the call and make a transcript. We tell you when you book and again at the start of the call. The recording includes what is said and anything shown on screen. We also take notes.
• Other recorded calls. If we record any other call, such as the review call, we tell you first, the same way.
• Information in your systems. If you sign up for a build or service, we handle information in your systems, including about your customers, only as your written agreement allows.
• Technical data. Like any website, our hosting provider receives your IP address and basic browser details when you load a page, so it can deliver the page and keep the site secure.

Please do not put passwords, payment card numbers or sensitive personal details in the form or show them on a recorded call. We never ask for passwords or access to your accounts during an assessment.

What you tell us on a call may include information about other people, such as your staff or customers. We use it only to prepare your assessment. Where a name is not needed, we leave it out of the plan.

Why we use it

• To reply to your request and arrange the call.
• To prepare your plan and answer your follow-up questions. The recording and transcript let us quote you accurately.
• If you buy a build or service, to do the agreed work and to send you invoices and keep the business records the law requires.

We do not use your information for any other purpose without asking you first.

Who processes it for us

We use a small number of service providers. Each handles your information only to provide its service to us.

• Email. The booking form sends your request to us by email through an email delivery provider. The website does not store it; it arrives in our mailbox.
• Hosting. The website is hosted by a website hosting provider, which handles page requests and the booking form.
• Recording, transcription and AI. The call recording and transcript are processed with third-party recording, transcription and AI services to prepare your plan. AI tools help us analyze the conversation and draft the plan. A person at Soramis reviews and checks every plan before you receive it.

For builds and services, the AI, hosting and automation services we use for your work are listed in your agreement.

If you want to know which services we use for your assessment, ask us and we will tell you.

Where it is processed

Some of these providers store or process information in other countries, including the United States. When that happens, the information is subject to the laws of that place.

What we do not do

• We do not sell your personal information.
• We do not share it with the tool vendors we recommend.

How long we keep it

We keep the call recording and transcript only as long as we need them to deliver your assessment and answer follow-up questions, and we delete them sooner if you ask. We keep booking emails and the plan only as long as we need them for our work with you. Invoices and other business records are kept as long as the law requires. Information from your systems is deleted or returned when the work ends, as your agreement sets out.

Cookies and tracking

Our website does not set cookies and does not use analytics or advertising trackers. The site loads its fonts from Google Fonts, which means your browser sends a request, including your IP address, to Google when a page loads.

Your rights

You can ask us to:

• tell you what personal information we hold about you and give you a copy;
• correct information that is wrong or incomplete;
• delete your information;
• withdraw your consent, for example to a recording, at any time. If you withdraw consent, we stop using the information for that purpose.

To do any of this, write to hello@soramis.com. We may ask you to confirm who you are. We reply within 30 days.

Security

We limit who at Soramis can see your information to the people who need it for your assessment, and we use service providers that protect the data they hold for us. For builds and services, we work only on accounts you create for us, which you can switch off at any time, and we stop using them when the work ends. If an incident puts your personal information at serious risk, we will tell you as the law requires.

Changes to this page

We may update this page when our practices change. The date at the top shows the latest version. If a change affects how we use information we already hold about you, we will tell you before it takes effect.
