This is a sample. The business, its people and its numbers are made up. The tool prices are real and dated.

Sample plan: Oakline Heating and Plumbing (made up)

The short version

  • What you asked for: stop losing calls after 6 pm, and stop Lena doing the same office work twice [00:48].
  • What we found: three fixes. Two are in the Jobber plan you already pay for and have not fully turned on; one is a $29 a month Jobber add-on. Soramis takes no commissions or referral fees from Jobber or any tool maker.
  • Why no custom build here: for Oakline, the best answer was the tools it already uses, set up properly. Other plans end in a custom tool we build or work we run for you.
  • Estimated hours back: about 4.75 hours a week. An estimate from the numbers you and Lena gave, not a measured saving.

What we heard (made-up quotes)

Your rule [16:20]: reminders can go out on their own; anything with a new price is seen by Dana or Lena first. You use Jobber Connect (5 users, monthly billing) and QuickBooks Online.

Customer details: fix 1 sends invoices and payments to QuickBooks; fix 2 keeps callers' names and numbers in Jobber. This plan needed no access to your systems or files.

The plan

Ranked by impact (hours and money at stake) against effort. All hours are estimates.

1. Stop typing invoices twice, and let reminders chase late ones

  • Problem: every invoice is retyped into QuickBooks, and late ones are chased by phone [09:02] [11:30].
  • Fix and tool: turn on the QuickBooks Online sync and automatic invoice follow-ups in Jobber Connect. Jobber says the sync sends invoices and payments to QuickBooks automatically. It beat a separate connector app because you already pay for it.
  • Price: $0 extra; both are listed in Connect. Jobber pricing page and Jobber QuickBooks sync page, checked 2026-09-28.
  • Effort: low, about 2 hours with your bookkeeper. Hours back: about 2.75 a week. Typing: 60 invoices x 2 minutes = 2 hours, less 15 minutes a week to check the sync = 1.75. Collections: 2 hours; reminders make the first asks, so we count half = 1.
  • First step: Lena and the bookkeeper connect QuickBooks and check one day of synced invoices.
  • Test: today 60 invoices a week typed twice and about 40 past 30 days. Target: none typed by hand, fewer than 20 past 30 days. Check: 60 days after the sync goes on.

2. Answer every call after 6 pm and when the line is busy

  • Problem: about 25 calls a week wait in voicemail until the next morning [05:40].
  • Fix and tool: Jobber AI Receptionist, which "Answers calls and texts 24/7" and transfers calls on "the keywords that mean urgent for your business" (Jobber AI Receptionist page, checked 2026-09-28). Set its greeting to tell anyone who smells gas to leave the building and call the gas company or 911 from outside. It costs less than a live answering service (below); if your callers will not talk to software, a person is the better fit.
  • Price: $29/mo add-on, "All prices in USD". Jobber pricing page, checked 2026-09-28. Compared: Smith.ai Starter is "$300 / month" for 30 calls plus "$11.50/call over 30", about $1,197 a month at 108 calls (25 x 52 / 12; $300 + 78 x $11.50). Smith.ai pricing page, checked 2026-09-28.
  • Effort: low, about an hour. Hours back: about 1.5 a week. 25 calls x 6 minutes (voicemail, callback, phone tag) = 2.5 hours; details are taken up front, so we count 60%. Not counted: jobs lost to whoever answers first.
  • First step: Dana lists the words that mean urgent (no heat, leak, flooding) and who is on call, turns on the add-on and test-calls it after 6 pm.
  • Test: today about 25 voicemails a week, returned next morning. Target: every call answered or logged, urgent ones transferred, the rest booked or called back within one business day. Check: 30 days after go-live.

3. Follow up every quote without anyone remembering to

  • Problem: 30 quotes went out in August; 11 got a follow-up [03:05].
  • Fix and tool: automatic quote follow-ups in Jobber Connect. Lena calls only quotes still open after 7 days. It beat a shared list of open quotes, which needs someone to keep it up.
  • Price: $0 extra; "Automate quote and invoice follow-ups" is listed in Connect. Jobber pricing page, checked 2026-09-28.
  • Effort: low, under an hour. Hours back: about 0.5 a week: automatic messages make the first ask and Lena calls only quotes still open after 7 days, so we count half of Lena's hour a week on quote calls [03:05]. Not counted: quotes won because someone asked.
  • First step: Lena writes the message, tests it on herself, then turns it on.
  • Test: today 11 of 30 quotes (37%) followed up. Target: every quote followed up within 7 days. Check: 60 days after go-live.

Total: 2.75 + 1.5 + 0.5 = about 4.75 hours a week (estimate).

What we did not recommend and why

  • Not yet: the field team on the Jobber app for timesheets and job tickets [14:05]. About 2 hours a week back for Lena, but $200 a month more (Connect is $199/mo for 5 users, $399/mo for 15, monthly billing; Jobber pricing page, checked 2026-09-28). Revisit once fixes 1 to 3 pass their tests.
  • Jobber Grow for two-way texting: $100 a month more ($299 vs $199 at 5 users, monthly billing; Jobber pricing page, checked 2026-09-28). Nothing on the call needs it yet.
